Members, roles & privacy

Managing project members

To add a new project member, change privacy settings, or manage project roles, click the Share button in the top-right corner of the project page.

Project roles & permissions

There are four project roles:

  • Full-access: Can manage project roles, add new members, and delete the project.
  • Can edit: Can modify project content but cannot delete the project or manage members.
  • Can comment: Can add comments to tasks but cannot create or edit tasks, views, or fields.
  • Can view: Can only view project content without making any changes.

Note: Workspace owners automatically have Full-access to all projects, regardless of their assigned role.

Assigning roles

Roles can be assigned to groups or individual members:

  • Workspace members: Available in public projects. Assigning a role to this group gives all workspace members the same permissions.
  • Team members: If a project belongs to a team, you can assign a role to the team, granting all team members the selected permission.
  • Individual members: You can assign roles directly to specific users.

To change a group or member's role, click the role name on the right side and select a new permission.

Removing members & leaving a project

To remove a member or leave a project, select Remove or Leave from the role dropdown.

Note: Every project must have at least one Full-access member or group. If you're the only Full-access member, transfer the role before leaving the project.

Handling multiple roles

If a user has multiple roles from different groups or as an individual member, the most permissive role applies. For example:

  • If a user is part of a team with Full-access, but you individually assign them Can view, they will still retain Full-access due to their team role.

Private projects

To make a project private:

  1. Click the Share button.
  2. Open the Privacy dropdown.
  3. Select Private to members.

When a project is private:

  • Only individually added members can access it.
  • The Workspace members and Team members permissions will be removed from the project.

  1. In the Invite with email input, type the name or email of the user.
  2. Select the user's project role from the role dropdown next to the input.

Inviting new users to the workspace

If you are a Workspace owner and the user is not in the workspace:

  • You can invite new members to the workspace via email.
  • To invite multiple users, enter or paste comma-separated email addresses.
  • Assign a workspace role:
    • Member: Has access to all public projects, teams, and folders.
    • Guest: Only has access to assigned projects.
